Reports to the Site Administrator. The Site Assistant is responsible for creating a welcoming environment and positively representing WSEM to the general public, service recipients, staff, and donors. The Site Assistant provides information about the Youth and Family Learning Center and is able to make accurate referrals to all WSEM programs. Serves as receptionist at the site, handles telephone communications and disseminates messages appropriately. Completes all work requests given by Site Manager. Assists in clerical responsibilities as requested by WSEM staff (e.g. typing, filing, photocopying, archiving, maintaining resource materials). Inputs data entry such as voucher hours, COPA information, and attendance data.. Assists with intake process and maintaining families’ documents. Helps with recruitment activities. Assists with the collection of parent payments and voucher processing. Attends staff meetings as assigned. Assists with taking minutes and maintaining staff meeting records. Assists in classrooms when needed and performs other duties as assigned. |

Assist with recruitment of potential collaborative partners. Screen prospective centers and explain requirements and benefits of program. Monitor center for acceptance into program. Provide start-up assistance including enrollment, set-up of files, and training on procedures of program. Establish and maintain a working relationship with each collaborative partner. Schedule and conduct collaborative visits a minimum of once a month. Facilitate transition of families from county voucher system to ELI program. Maintain communication with County ELI office to ensure timely authorization of ELI children. Monitor KinderAttend website daily for authorizations, change of status, and attendance of children. Verify and review attendance hours for collaborative centers prior to pay cycle submission. Provide support, technical assistance and trainings to assigned collaborative partners in the following areas: children’s files, rosters, health tracking, screenings, monitoring and parent activities. Provide a monthly calendar, checklist and agency information to collaborative partners to keep them aware of agency activities. Assist with trainings for collaborative partners on required screenings. Assist with the child staffing and referral system to ensure services are being provided to families and children as needed. Complete monthly reports and other reports as needed including site visit forms summarizing visit, action plans and follow-up at centers. Attend ELI and Family Support meetings, and other meetings as required. Responsible for recruitment and maintaining funded enrollment levels. Perform other duties as assigned. |

Conduct interviews with clients to assess barriers to employment and fill out individual service plan. Responsible for making client referrals for supportive services such as clothing, transportation and child care. Responsible for attendance and case note reporting through database management system. Maintain current and organized information on job postings in the Greater Cleveland area. Responsible for updating and maintaining client files with the highest level of detail and timeliness possible. Meet with job search clients on a daily basis, provide them with effective job leads, perform any and all activities conducive to the client’s obtaining employment, and following up on job search activities. Revise and correct any and all documentation produced by clients to ensure quality material, such as resumes and cover letters. Conduct mock interviews during the Job Readiness program, when required. Direct workshops and instruct classes within the Job Readiness program. Ensure that all required forms are properly completed. Develop and maintain cordial relationships between El Barrio’s Job Readiness program and individual Employment & Family Service caseworkers, communicating with them and providing requisite information as needed. Develop and maintain cordial relationships with current and potential employers. Provide information on client completions to Manager of Adult Services for monthly billing. Attend assigned meetings, assist with special projects and other duties as assigned. |
